1. Acceptance of Terms

By creating an account or using FlightRota ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, you must not use the Service.

2. Description of Service

FlightRota is a platform that allows airline flight crew to upload rosters, browse duty swap opportunities, and coordinate potential duty exchanges with colleagues within their airline and base.

The Service is designed primarily for use by flight crew operating in the United Kingdom.

FlightRota is a communication and coordination platform only. It does not replace or form part of any airline's official rostering, crewing or operational systems.

3. Eligibility

You must be a current flight crew member employed or engaged by a supported airline to use the Service.

Access to FlightRota is restricted to eligible users. As part of registration, you must provide and successfully verify an airline-issued email address belonging to you.

You must not:

  • register using another person's airline email address;
  • provide false or misleading information about your airline, role, fleet or base;
  • attempt to circumvent FlightRota's eligibility or verification procedures;
  • allow another person to use your verified account; or
  • continue to represent yourself as eligible to use the Service if you are no longer eligible.

You are responsible for ensuring that your use of the Service complies with your employer's policies, your employment terms, any applicable collective or union agreements, and applicable aviation regulations.

4. Airline Email Verification

FlightRota uses airline-issued email addresses as an eligibility and security measure intended to restrict access to the Service to airline flight crew.

To create or activate an account, you must verify control of an email address associated with a supported airline. This may involve receiving and completing a verification link, code or similar authentication process sent to that address.

Successful verification confirms that the user demonstrated access to the relevant airline-issued email account at the time of verification. It does not constitute independent confirmation or certification by FlightRota of the user's employment status, role, rank, qualifications, licences, operational authority or continued employment.

Verification by FlightRota does not mean that the relevant airline has approved, endorsed or authorised the user's use of FlightRota.

We may require users to re-verify their airline email address periodically or where we reasonably consider re-verification necessary for security, eligibility or fraud-prevention purposes.

If an airline email address can no longer be verified, or we reasonably believe that a user is no longer eligible to use the Service, we may restrict, suspend or terminate the account.

We determine which airlines and airline email domains are supported by the Service and may add, remove or amend supported domains where reasonably necessary.

5. User Responsibilities

You agree to provide accurate information about your role, fleet, base and airline and to keep relevant account information reasonably up to date.

You are solely responsible for any swap arrangements you make or discuss through the Service.

You must not:

  • use the Service to share confidential, commercially sensitive or proprietary airline information in breach of your obligations to your employer or another party;
  • harass, threaten, mislead or impersonate another user;
  • scrape, harvest, systematically collect or attempt to extract information or personal data from the Service;
  • upload or share another person's personal data without an appropriate lawful basis or permission;
  • attempt to gain unauthorised access to another account or restricted part of the Service;
  • interfere with the security, availability or normal operation of the Service;
  • use information obtained through FlightRota for purposes unrelated to legitimate crew roster or swap activity;
  • use another person's account or allow another person to use your account; or
  • use the Service for fraudulent, unlawful or abusive purposes.

You are responsible for maintaining the security of your account and authentication credentials and should notify us promptly if you believe your account has been compromised.

6. Swaps and Employment Relationship

FlightRota is an independent platform that facilitates communication between users regarding potential crew swaps.

FlightRota does not arrange, approve, validate, implement or guarantee any roster change.

A match, offer, request, acceptance or agreement made through FlightRota does not constitute an approved roster change.

All proposed swaps remain subject to your airline's official procedures and approval. You are responsible for submitting any proposed swap through your airline's official systems and for confirming that it has been formally approved before relying on or acting upon the proposed roster change.

Your airline's official roster remains the authoritative record of your duties at all times.

FlightRota does not determine or guarantee whether a proposed swap complies with flight time limitations, duty time limitations, rest requirements, qualifications, training requirements, employment conditions, collective agreements or any other operational, employment or regulatory requirement.

FlightRota is not a party to any arrangement between users and accepts no responsibility for a swap being declined, cancelled, incorrectly submitted or processed, or otherwise not completed, subject always to any liability that cannot lawfully be excluded.

7. Independence from Airlines

FlightRota is an independent service and is not operated by, affiliated with, endorsed by, sponsored by or officially connected with any airline, airline group, employer or crew rostering provider unless expressly stated otherwise.

The acceptance of an airline email domain by FlightRota does not indicate any relationship, partnership, authorisation or endorsement between FlightRota and that airline.

References to airlines, airline email domains, aircraft types, bases and other operational information are used solely to determine eligibility and enable users to identify and coordinate relevant potential crew swaps.

All airline names, trademarks, logos and other proprietary marks remain the property of their respective owners.

8. Privacy, Airline Email Addresses and Swap Visibility

Your use of the Service is also governed by our Privacy Policy, which explains how we collect, use, store and protect personal information.

Airline-issued email addresses are used for purposes including account creation, authentication, eligibility verification, security, fraud and misuse prevention, and communications relating to the Service.

Your airline email address is never displayed to other FlightRota users.

Creating a FlightRota account does not make your profile or personal information visible to other users. Information about you only becomes visible to other eligible users when you choose to post a swap and only in connection with that swap.

Before posting a swap, you can choose the "Post Anonymously" option.

When "Post Anonymously" is selected, your identifying account information, including your name and staff number, is not displayed to other users in connection with the swap. The swap is presented anonymously, although operational information necessary to describe and assess the proposed swap, such as relevant duty, roster, fleet or base information, may still be displayed.

Posting anonymously makes the swap anonymous to other users of the Service. It does not make your activity anonymous to FlightRota itself. FlightRota will continue to associate the swap and related activity with your account internally where necessary to operate the Service, maintain security, prevent misuse and comply with legal obligations.

If you do not select "Post Anonymously", identifying information associated with your swap, including your name and staff number, may be displayed to other eligible FlightRota users.

You are responsible for reviewing and selecting your preferred privacy setting before posting a swap.

FlightRota does not provide airlines with lists of users registered with their email domains merely because those users have registered for the Service, except where disclosure is required by law or otherwise permitted in accordance with our Privacy Policy.

9. Fees

The Service is currently free to use.

We reserve the right to introduce paid subscription plans or paid functionality in the future. Any applicable fees and payment terms will be clearly disclosed before you are charged.

The availability of particular free features may change over time.

10. Suspension and Termination

You may delete your account at any time from the Settings page.

We may suspend, restrict or terminate your access where we reasonably believe:

  • you have breached these Terms;
  • you are not, or are no longer, eligible to use the Service;
  • your airline email address cannot be verified or re-verified;
  • information provided during registration or verification is false or misleading;
  • your account has been compromised;
  • you have attempted to circumvent our verification or security controls;
  • you have misused the Service; or
  • restriction is reasonably necessary to protect FlightRota, its users or third parties.

We may also remove swap listings or other content that breaches these Terms, is inaccurate, inappropriate, potentially harmful, or which we reasonably consider may adversely affect the Service or its users.

11. Limitation of Liability

Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited, including any rights or remedies that you may have under applicable consumer law.

Subject to the above, FlightRota is not responsible for losses arising solely from decisions, actions or omissions of users or airlines in relation to proposed swaps, including where a proposed swap is declined, cancelled, incorrectly submitted, incorrectly processed or not approved.

FlightRota does not guarantee:

  • that a suitable swap will be available;
  • that information provided by another user is accurate;
  • that a user remains employed by or engaged by the airline associated with their verified email address;
  • that a proposed swap will comply with airline requirements;
  • that the Service will always be available or uninterrupted; or
  • that the verification process will completely prevent unauthorised or ineligible users from accessing the Service.

You remain responsible for checking your airline's official roster and verifying that any proposed roster change has been formally approved before relying upon it.

Nothing in these Terms affects your statutory rights.

12. Changes to the Service or Terms

We may update these Terms from time to time where reasonably necessary, including to reflect changes to the Service, applicable law, security requirements or our verification procedures.

We will notify users of material changes through the Service, by email or by another appropriate method.

Where required by law, we will obtain your consent to changes rather than relying solely on continued use.

13. Governing Law

These Terms are governed by the laws of England and Wales.

If you are a consumer, you will retain any mandatory rights you have under the laws applicable where you live.

Nothing in these Terms affects your statutory rights.
